1. Who we are

Ethicly Ltd ("Ethicly", "we", "us") operates the platform at ethicly.app. We are the data controller for personal data collected through this platform.

2. What data we collect

We collect the following categories of personal data:

  • Account data — name, email address, job title, company, LinkedIn URL
  • Profile data — professional background, personality profile, communication preferences
  • Review data — written reviews you give and receive, dimension scores (Transparency, Empathy, Value Alignment, Responsiveness, Follow-through)
  • Trust Score — an aggregated score derived from reviews received on your profile
  • Usage data — log data, IP address, browser type, pages visited, time spent
  • Communications — emails and support messages you send us

3. How we use your data

We use your data to:

  • Provide and maintain the Ethicly platform and your account
  • Calculate and display your Trust Score and dimension ratings
  • Enable other users to leave reviews about their experience engaging with you
  • Deliver AI-powered coaching and growth tips based on your review data
  • Send transactional emails (account confirmation, review notifications)
  • Improve and develop the platform
  • Comply with our legal obligations

4. Legal basis for processing

We process your data under the following legal bases (UK/EU GDPR):

  • Contract — processing necessary to provide the service you have signed up to
  • Consent — where you have explicitly agreed (e.g. marketing emails, cookies)
  • Legitimate interests — improving the platform, security, fraud prevention
  • Legal obligation — where we are required to process data by law

5. Reviews and public data

By creating an account you acknowledge that other Ethicly users you have engaged with in a professional capacity may leave reviews about their experience with you. Reviews are visible to other registered Ethicly users. Your Trust Score and dimension ratings are visible on your profile.

All reviewers are identifiable to Ethicly but may leave reviews anonymously on your profile. You cannot request deletion of reviews left by others, but you may flag reviews that breach our Terms of Service for investigation.

6. Personality profile data

You may optionally upload or paste external personality profile results (such as Insights Discovery, Myers-Briggs, DISC, Enneagram, or similar) to your Ethicly profile. This data is subject to the following commitments:

  • Never shared with other users — your personality profile data is strictly private to your account and is never visible to, or accessible by, any other Ethicly user
  • Never shared externally — this data is not sold, licensed, or disclosed to any third party outside of Ethicly, except where required by law
  • Used solely for your AI coaching — personality profile data is passed to Anthropic (Claude AI) only to generate personalised coaching and engagement advice for you specifically
  • Deletable at any time — you can remove any uploaded personality profile from your account at any time via your Profile settings

Uploading a personality profile is entirely optional and has no effect on your Trust Score or how other users experience your Ethicly profile.

7. Data sharing (general)

We do not sell your personal data. We share data only with:

  • Supabase — database and authentication provider
  • Resend — transactional email delivery
  • Anthropic — AI coaching features (review content may be processed by Claude AI)
  • Legal authorities — where required by law

All third-party providers are contractually bound to handle your data securely and only for the purposes we specify.

7. Data retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal profile data within 30 days. Review data may be retained in anonymised form for platform integrity purposes.

8. Your rights

Under UK/EU GDPR you have the right to:

  • Access — request a copy of the data we hold about you
  • Rectification — correct inaccurate data
  • Erasure — request deletion of your account and personal data
  • Portability — receive your data in a structured, machine-readable format
  • Objection — object to processing based on legitimate interests
  • Withdraw consent — at any time, where processing is based on consent

To exercise any of these rights, email privacy@ethicly.app. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

9. Cookies

We use essential cookies required for the platform to function (authentication sessions). We will ask for your consent before setting any non-essential cookies (analytics, preferences). You can manage cookie preferences at any time via the cookie settings link in the footer.

10. Security

We use industry-standard security measures including encrypted connections (HTTPS), secure authentication via Supabase, and access controls. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

11. Changes to this policy

We may update this policy from time to time. We will notify you by email of any material changes. Continued use of the platform after changes constitutes acceptance of the updated policy.
